DBS Checks - Staff (including student paid roles)
A DBS Check (‘DBS’ stands for ‘Disclosure and Barring Service’) is a way for the University to check whether you have a criminal record. Criminal records’ checks help organisations to make informed recruitment decisions and thus help reduce the risk of employing or admitting someone who may have an unsuitable background for particular types of work.

What is a DBS check and how do I know if I need one?
By way of an authorised application form, the DBS provide access to information held on the Police National Computer (PNC) and by local forces and, in relevant cases, information held by the Independent Safeguarding Authority (ISA).
There are three levels of Disclosure: Basic, Standard and Enhanced. Your Department/Section will advise you on what level of Disclosure you need to apply for. However, most applicants to Durham University, whether staff or students, will be asked to apply for an Enhanced Disclosure as they will be working directly with children and/or vulnerable adults in a regulated setting. The check shows information held by local police that is considered relevant to the role, as well as the usual spent and unspent convictions and cautions.

Obtaining a DBS Certificate
DBS checks are made by the University working with an external organisation called uCheck using the following process:
1. Your department will notify HR that your role requires a DBS check for the position. HR will confirm the level of check that will be required. Your name and email address will then be added to the uCheck system for obtaining a DBS check.
2. You will then be invited you to check your personal identity documents for your DBS check.
3. You will also be contacted directly by uCheck by email and asked to complete your DBS application form online. Please ensure that you complete your enhanced DBS application form online before meeting for your personal identity documents to be verified.
4. You will then attend a face-to-face session to verify your personal identity. You MUST bring original copies of your personal identification documents for verification. (Below is a link to information about the documents you should bring.)
5. Once it has been confirmed on the uCheck system that your identity has been verified, uCheck will go ahead and initiate and countersign the DBS checking process. The person who verified your identity can check the progress of the DBS checking process through the uCheck system.
6. Once your DBS check is complete you will receive a copy of your DBS certificate through the post, sent to you at the address you give as your home address on the uCheck DBS application form online. Please ensure that you use an appropriate home address where you will be able to receive your certificate.

Please note that DBS requires us to keep a record of the documents used to validate each identity for a minimum of 2 years. Your information will be securely held and deleted after two years.

Portability
Portability is the re-use of a DBS Disclosure for a position in another organisation. The DBS has clarified that it will not facilitate the portability of Disclosures and that organisations using portability do so at their own risk. Major limitations for re-using a Disclosure include:
- An offence may have occurred since the Disclosure was issued.
- The Disclosure may not be at the level to which we require to check our staff/students (i.e. enhanced level).
- The original may not include checks of the ISA Adults Barred and/or ISA Children Barred lists.
- The applicant's copy of the Disclosure will not state if any additional information was provided by the Police.
For these reasons the University's policy is not to accept Disclosures from other institutions unless an individual has also signed up to the DBS Update Service (see below).
It is also Durham's policy not to share Disclosures with other organisations and all information provided should remain confidential and disclosed to authorised personnel only; unauthorised disclosure is an offence.
Update Service
To help reduce the need for requesting multiple DBS checks, the DBS Update Service allows applicants the chance to keep their DBS certificate up to date online and allows employers to check a certificate online. Subscription costs £16 per year and is suitable for applicants who may be required to carry out multiple checks, thus avoiding the need to request to share disclosure information.
